We can’t make it on our own, we need you. An amazing, run the show type of person, who loves people, but loves organization even more. Achieve your goals by helping us achieve ours, join the FFUN Group as our Executive Assistant to the CEO.

We’re not just looking for an administrative assistant. We’re looking for a rock star. A do everything, air-traffic controller. A master of the calendar, willing to push back on over commitments. Someone trusted to be in the know, with bright ideas to help us do everything… better. If assertiveness is your middle name and you’re looking to build a career, come and join one of the fastest growing businesses in Canada and help take us to the next level.

    Your Skillset

    • Your intangibles, such as loyalty, core values and good instincts give you an unfair advantage to get the job done
    • Fast, fast, faster than fast, you are a super-charged multitasker who works on two things at once, not because you have to, but because you do not know how to work any other way
    • Your organizational skills border on an addiction. Until things are accounted for, you won’t rest
    • You love thinking outside the box for the next big idea to better your workflow
    • Clocks basically report to you, since you manage time so effectively
    • You have the memory of an elephant
    • Your expense reports add up to done in a jiffy
    • You are the type of person that gets your work done way before scheduled just because you can
    • You are cool under pressure, as your stress ball sits idle on your desk
    • You’re an amazing scheduler with a sickening degree of attention to detail
    • You are an animal at keeping people on task and managing projects
    • You are more motivated than Tony Robbins, accountable, results-driven and drive yourself to be better
    • You take initiative as well as you take direction, barely needing to be told once, let alone twice
    • You drive initiative to create systems for organizational efficiency
    • You love people, so written or verbal communication comes naturally
    • You thrive in a fast-paced environment where your workload needs to catch up to your prioritization
    • Your positive attitude is as contagious as an office cold
    • Your lips are sealed when they need to be, understanding confidentiality and the importance of discretion and diplomacy
    • You are flexible, adapting to whatever each new day brings, and we know, each day will be different

    What You’ll Be Doing

    • Schedule travel, meetings and other appointments for the Executive
    • Conduct weekly team meeting
    • Participate in quarterly team building and annual business planning activities
    • Prepare expense reports for assigned executive, including the collection and tracking of corporate credit card invoices to submit to accounting
    • Editorial duties (writing, proofreading, fact checking, etc.)
    • Preparation of reports and presentations
    • Communications between assigned executives and staff
    • Assist in the organization of professional office spaces for the assigned Executives
    • Maintain office supplies and run errands
    • Other duties as assigned

    Requirements

    • A high school or bachelor’s degree
    • At least 2 years in an administrative role or equivalent work experience
    • Proficient knowledge of Microsoft Office Suite and Outlook
    • Familiarity with technology, such as phone systems and video conferencing services a plus
